Job Summary:
The Executive Assistant – IT provides high-level administrative support to the CIO/IT Leadership team, ensuring the day to day support in operation of the IT department. This role involves managing schedules, coordinating meetings, handling communications, and assisting with IT-related projects and initiatives. The ideal candidate is detail-oriented, proactive, and familiar with IT concepts, tools, and workflows.
Key Responsibilities:
Administrative Support:
- Manage and maintain the google calendar for the CIO/IT Leadership, scheduling meetings, and prioritizing engagements.
- Prepare agendas, presentations, and reports for meetings.
- Screen calls, emails, and correspondence, responding on behalf of the CIO when required.
Project Coordination:
- Assist in tracking IT projects, ensuring timelines and milestones are met.
- Coordinate with team members and external stakeholders for project updates.
- Maintain documentation for IT policies, processes, and compliance requirements.
Meeting and Event Management:
- Organize and schedule IT department meetings, events, and conferences.
- Take meeting minutes, distribute action items, and follow up on task completion.
Communication and Liaison:
- Act as a liaison between the CIO and internal/external stakeholders.
- Communicate IT-related updates, initiatives, and changes within the organization.
Document and Data Management:
- Maintain and organize IT-related documents, ensuring confidentiality and easy retrieval.
- Analyze data for IT reporting and dashboards, assisting in decision-making.
General IT Support:
- Support the IT team in organizing meetings and arrangements and internal communications.
- Stay updated on IT tools and systems, supporting and coordinating for basic troubleshooting assistance.
Miscellaneous Duties:
- Manage travel arrangements and expense reports for the CIO/IT leadership team.
- Handle ad-hoc tasks and administrative requests as needed.
Qualifications:
Education:
- Bachelor’s degree in Information technology or computer science
Experience:
- 2-3 years of experience as IT Coordinator/ Executive Assistant-IT, preferably in Medical Billing, IT or technology-driven environment.
- Experience in IT Operations and IT help desk support is a plus
- Strong knowledge of IT systems, tools, and terminologies.
Skills:
- Exceptional organizational and coordination abilities and multitasking skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with IT tools like Jira, Confluence, or similar.
- Strong written and verbal communication skills. Proficient in English language.
- Ability to handle confidential information with integrity.
- Good understanding of IT workflows, systems and processes.
